Sample cover letters: How to have a perfect impression on clients?


In the modern world of commerce and trade, sample
cover letters occupy an important role in our practical life. This is different
from a personal letter in terms of tone, form and content. It always demands a
formal and matter-of-fact treatment. As these letters are generally written to
or by commercial and business firms and enterprises, they require simple,
systematic and formal treatment of the subject. A sample cover letter must
normally have these seven essential parts:
 


Sender’s address 


Sender’s address is placed in the top left hand
corner. Continuing with the latest trends in letter writing and specimen format,
the commas and full stops at the end of the lines are omitted. The letters are
written on the letter-heads with the company’s name, address, telephone and
telegram printed at the top.
 


The date 


It is always recommended to write the date just
below the sender’s address.
 


The name and address of the
addressee
 


In these letters, the ‘Name’ and ‘Designation’ of
the addressee is written on the left margin.
 




The salutation 


We write ‘Sir’ or ‘dear sir’ for individuals and
‘sirs’ or ‘dear sirs’ or ‘messers’ for firms or companies.
 


The body/ content 


Cover letters demand brevity and formal treatment.
They should be to the point and confined to the specific business
issues.
 


The complimentary close 


It generally ends with ‘yours truly’ or ‘yours
faithfully’.
 


Signature 


It requires a full signature with the name and
designation.
